Annual General Meeting of the Home Owners Association – Agenda
Held on 19 March 2021 via Zoom at 10h00
1. Welcome, opening and attendance
a) Welcome
b) Present – register to be signed.
c) Proxies & Apologies
d) Quorum and validation of a properly constituted meeting.
2. Confirmation of the Minutes of the AGM 03/01/2020 and matters arising.
3. Adoption of the Excom report.
4. Consider and approve audited financial statements for previous financial
period.
5. In-house Management Resources
6. Appoint Auditor to hold office until the conclusion of the next Annual
General Meeting.
7. Budget – Ratification
8. Election of the Excom in terms of the Constitution: The present Excom
members are available to continue.
9. Notes
i. Budget runs concurrent with financial year.
ii. Interest, at a rate decided by a trustees’ resolution from time to time (20% pa.), to be added to arrear levies after 30 days. Levies are payable monthly in advance and must be receipted in the Kariega Heights Home Owners Association’s account by no later that the 5th working days of each month.
iii. Credit control: Statements are sent to owners in default either in respect of levies and/or other variables; relevant owners to be debited with all administrative charges in respect of these arrears.
iv. Interest earned on the Home Owners Association to be retained in their account and no portion thereof paid over to the Estate Agency Affairs Board.
v. Notwithstanding anything contained elsewhere in the Act / Regulations, the Trustees, by a majority vote, shall be entitled to co-opt a new Trustee to fill any vacancy in their number arising for whatsoever reason.
